Ticket Scanning Setup

Note: This article is to assist Event Organisers with the essential setup required to enable Ticket Scanning for their events. For information regarding the actual ticket scanning process, please read Scanner Operators' Guide Part 1 and Scanner Operators' Guide Part 2


Ticket Scanning Overview

  • Ticket scanning can help improve efficiency and lower wait times for your attendees.
  • The TicketHost scanning feature is built into the website and does not require an App, so all upgrades are available immediately without requiring ongoing downloads.
  • Ticket scanning must be enabled by the event organiser before it can be utilised for your events.
  • Once enabled, scanning is available for all of your events and you choose whether or not to employ scanning for individual events.
  • The preferred scanning device is a phone or tablet, however a laptop with a camera may also be used.

Activate Ticket Scanning

Managing ticket scanning in TicketHost is a 3 step process:

  1. Ensure the Scanner Operators have read the Scanner Operators' Guide Part 1 and Scanner Operators' Guide Part 2 help articles.
  2. Click the Scan Control link on the Organiser Control Panel and select 'Yes' for the Enable Scanning setting.
  3. Use one of the 3 notification options (see below) to provide the Scanner Login Link to scanner operators.
Important: Registered Event Organisers do not need to login via the Scanner Login Link, rather just click the Start Scanning button.

Notification Options

There are 3 different methods for providing your Operators with the Scanner Login Link (URL) that they need in order to access the Scanning feature.

  1. Print QR Code: Print a QR Code of the Scanner Login Link and make it accessible to your Scanner Operators at the event venue.
  2. Send via SMS: The URL can be sent to your Scanner Operators via SMS.
  3. Send QR Code via Email: The QR Code and the URL can be emailed to your Scanner Operators.

What is the Scan Id Code?

  • The Scan Id Code is a unique code to identify your organisation and is part of the Scanner Login Link (URL) that you need to provide to your Scanner Operators.
  • Scanners who sign in via this link will have access to scan tickets for events hosted by your organisation.
  • The same Scanner Login Link can be used for any number of your organisation's events. However if you have concerns that the Scanner Login Link has been shared with unauthorised persons, you may amend the Scan Id Code by clicking the Change Code button.
  • If the Scan Id Code is amended, previous Scanner Login Links will no longer be valid. The new Scanner Login Link must be provided to all of your authorised Scanner Operators.

Scanning Reports

  • The Export Ticket Scan Data report on the Organiser Control Panel provides a log of all tickets scanned for current and past events.
  • A Scan Report is also available whilst scanning is in progress by selecting the Reports icon. (see below)

Things to Note

  • Ticket Scanning may be performed via a phone, tablet or laptop that has a functioning camera.
  • The scanning process requires access to the TicketHost website so an internet connection is required at all times.
  • Scanning devices should be fully charged or plugged into a power source.
  • It is strongly recommended that a copy of the Ticket Sales List is available as a backup.
